GearDomain Terms of Service

Agreement and eligibility

These terms cover GearDomain's iOS and Android apps, web app at app.geardomain.app and related inventory services, operated by GearDomain, <address>. Contact support@geardomain.app with questions.

By using GearDomain after receiving these terms, you agree to them. You must be at least 13 to use GearDomain, including its public reporting and request forms. In countries where the digital consent age is higher than 13, a person under that age needs a parent's or guardian's permission to use GearDomain. If you lack legal capacity to enter this agreement, you must also have any authorization required by applicable law; this does not waive the minimum age of 13. If you act for an organization, you must have authority to do so.

What the service does

GearDomain helps you keep inventory records and photos, record checkouts and returns, manage kits, associate QR or NFC labels with equipment, generate label sheets and inventory reports, and share gear request links.

The app does not process payments. Request links do not collect rental charges or deposits. You and the other party arrange any rental contract, payment, insurance and physical handover separately. A request approval reserves gear in the service; it does not record physical custody. Checkout is recorded at handover.

The public found-item page is a courtesy for reporting found gear. We do not verify a finder's identity, guarantee a response or recovery, or mediate returns, ownership disputes or compensation. A finder report does not check an item back in. Finder reports are retained and deleted under the finder-report schedule in the Privacy Policy; they are not a permanent archive. Accounts and organizations

Give accurate account information, protect your login and tell us if you suspect unauthorized access. Use your own account and act within your permissions.

Organizations have owner, admin and member roles. The owner controls the organization's data and membership, subject to applicable law and the app's permissions. Admins have management permissions; members carry out permitted inventory work. Owners and admins manage request links and decisions and can access requester contact details.

Leaving an organization or losing membership does not give you a right to delete its shared records. Obtain the owner's authority before acting for the organization or sharing its information.

Your records and responsibility for gear

You or your organization retain rights in the records and photos you provide. You give us permission to host, process, copy and display that material as needed to provide the service and carry out your sharing choices.

You are responsible for the accuracy of inventory entries, imported voice results, label assignments, borrower details and checkout records. Check generated reports before relying on them. An insurance report is an inventory export, not an appraisal, insurance policy or promise that an insurer will accept it.

You remain responsible for equipment, safe use, insurance and recovery arrangements. A label scan is not proof of ownership or physical handover. GearDomain labels do not track an item's live location.

Acceptable use

Use GearDomain lawfully and only with information you have authority to provide. Do not:

  • Access another organization's records or bypass permissions, authentication or rate limits.
  • Submit fraudulent reports or requests, impersonate someone, harass people or send spam.
  • Upload unlawful material, malware or content that infringes another person's rights.
  • Scrape public labels or request links, disrupt the service or use it to track people without authority.

Share public links deliberately. Anyone with a request link can see the gear exposed through it, and anyone with a status link may view that request's status and use permitted actions. Protect signed download links and exported files.

Printed label packs

Printed label packs, when offered, are physical products sold separately from the app. Unopened packs may be returned within 30 days of delivery; contact support@geardomain.app to arrange the return. Applicable rights concerning defective goods or mandatory cancellation rights remain available, including where packaging has been opened.

Check label placement and scanning before putting gear into use. Labels can wear, detach, be copied or be damaged. We do not guarantee scan reliability, adhesion, durability or recovery of equipment. Any warranties or remedies required by law still apply.

Availability and warranties

To the extent permitted by law, GearDomain is provided as available, without a guarantee of uninterrupted or error-free operation. Network outages, device limitations and delayed synchronization can affect records, scans and downloads. Keep the exports and independent records your work needs.

We do not warrant that every scan succeeds or that a printed label lasts for a particular period. These terms do not exclude statutory warranties or duties that cannot legally be excluded.

Liability

To the extent permitted by law, our total liability arising from GearDomain and these terms is limited to the fees you paid to us in the 12 months before the event giving rise to the claim.

This cap does not apply to fraud or any liability that cannot lawfully be limited or excluded. Nothing in these terms removes mandatory consumer rights or other non-excludable remedies.

Ending use and exporting data

You may stop using GearDomain and request account deletion at support@geardomain.app. Uninstalling the app does not delete your account or shared organization records. Organization data requires authorization from the person entitled to control it.

We may suspend or end access for a material breach, unlawful activity, a security threat or a legal requirement. Where practical and lawful, we will explain the reason and allow a reasonable opportunity to resolve a remediable problem. We may act immediately where necessary to protect the service or comply with law. Contact support@geardomain.app to ask for a review.

Before leaving, export inventory using the inventory/insurance report in PDF or CSV. This report does not include every type of stored data. If access has ended, contact us for help retrieving information you are entitled to receive while it remains retained. We cannot restore data already deleted. Retention and deletion are described in the Privacy Policy.

Governing law

These terms are governed by the laws of <jurisdiction>, subject to mandatory protections that apply where you live. Courts in <jurisdiction> will handle disputes except where applicable law gives you the right to use another court.

Changes to these terms

We will publish updated terms with a new effective date and give reasonable advance notice of material changes through the service or account email. You may stop using the service and export your inventory before changes take effect. We will obtain express acceptance where the law requires it. Changes do not remove rights that have already accrued.
